LOGISTICS

•Your ICON Scholar will meet you at the assigned meeting point, equipped with maps of the city.

•Transportation to the tour meeting point and entrance fees to the sites are not included in the tour rate.

•Please arrive early, departure times are exact. Rome traffic can be unpredictable so please allow yourselves plenty of time to reach the meeting point.

•Average group sizes vary depending on the season, we always staff extra guides during peak season to guarantee small groups sizes.

•Small group tours are open to a maximum of 15 and 20 adults per group, depending on the itinerary.

•Privately guided tours are for individual parties only. By booking a privately guided tour you are guaranteed an Icon Scholar for your party alone, we guarantee no ‘tour pooling’ with other parties.

CONTACTING ICON

•For last minute cancellations, changes in schedule or if you have lost your meeting point directions, please contact us by TELEPHONE at your earliest convenience. During peak season we receive many e-mails daily and urgent communications might be missed given the bulk of incoming e-mails. Please call us for any urgent communication.

PROVIDING A CONTACT NUMBER WHILE TRAVELING

•Guests must provide ICON with an effective way of being contacted during their travels (mobile phone or hotel contact number). If you will not be traveling with a mobile phone and do not have a contact number where we can reach you then please CALL US on the day before your tour to confirm that everything is on schedule.

•Occasionally, unplanned changes to an itinerary or tour schedule must to be made (for example in the event of a strike, a protest, or other factors which cause the sites to be closed or unaccessible). In this case it will be our concern and responsibility to advise you of the change as soon as possible and make new arrangements.

•ICON cannot be held responsible for not advising guests of last minute changes if the guests do not provide us with a means to contact them within a short time of the tour.

DRESS CODE

•Please make sure shoulders and knees are covered when visiting churches and basilicas. Dress codes can be strictly enforced by security at some locations. ICON cannot be held responsible for guests who are denied access to locations due to improper dress.

TOUR PAYMENT & ENTRANCE FEES

•Payment for tours is accepted in cash, credit card or via PayPal. We offer different payment options:

1. On site, cash only

•Guests can choose this option if they wish to pay for the tours and entrance fees directly on the day of tour. On-site cash payments must be guaranteed with a valid credit card. Guests will be asked to provide a valid credit card when making the reservation. No charges will be made to the credit card except in the event of a cancellation (please read the Cancellation and Refund section below).

•Important: if you have chosen to pay in cash on the day of the tour you will have to pay in cash (Euros only) directly at tour time. Please make sure you bring the correct amount of Euros with you as we are unable to accept credit cards on-site. for security reasons, credit card payments must be completed at least 24 hours prior to the scheduled tour departure time. Failing to complete the cash payment at tour time will terminate your reservation.

2. Full advance payment

•Advance payment for all tours can be made either by credit card or via PayPal. Credit card payment are subject to an additional 5% charge to cover processing and exchange fees.

•Advance payment must be completed at least 24 hours prior to the scheduled tour departure time. Please note, advance payment is accepted for tour fees only; entrance fees must be paid for at tour time, in Euros, directly at the time of the tour.

3. Pay a deposit in advance, settle the rest at tour time.

•For Privately Guided Tours, guests can make an advance deposit payment of 10. Euros per person. The rest of the tour fee can be paid for at tour time in cash only. Please make sure you bring the correct amount of Euros with you as we are unable to accept credit cards on-site.

Entrance fees

•Payment for entrance fees is accepted at tour time in cash (Euros only). Some sights may require an entrance fee for children, please ask us about specific sites and entrance fees if this is a concern. Please read our FAQ for detailed information on entrance fees to different sites in Rome.

CANCELLATIONS & REFUNDS

•If an itinerary is canceled for any reason by either party, ICON Tours cannot be held liable for losses related to transportation, accommodation, food, or travel expenses sustained by guests, their agents, representatives, or associates.

•Cancellations and complete refunds of any tour can be made free of charge if they occur more than 48 hrs prior to scheduled tour time.

•Cancellations made less than 48 hrs before the tour time are subject to a charge of 50% of the the original amount due. The remaining 50% will be refunded with in 48 hours.

•Refunds requested at the END of a tour will be evaluated on a case-by-case basis.

•No-shows or cancellations made within 24 hours of the scheduled tour time are non-refundable.

•We also know that traveling can be an unpredictable adventure so we will NOT hold you responsible for cancellations due to transport delays, strikes, extreme weather conditions, or events beyond your control. In these circumstances, we ask for the courtesy of an immediate phone call to advise.

PRIVACY POLICY

•USE AND DISTRIBUTION OF PERSONAL INFORMATION: When booking a tour or service, we will request specific Guest details, such as your name, your e-mail address and other personal information. We require this information to ensure that we may contact you should there be any unexpected change in schedule.

•Your information will be used only and exclusively in relation to the service or tour you have reserved. Icon Tours will NOT distribute any of your information to third parties.

•With the exception of any processing for historical or statistical purposes, your personal data will not be retained in its nominal form for any longer than the period necessary to fulfill the purposes for which it was requested.
